ShiftJot Privacy Policy
Who this covers
This policy applies to the ShiftJot iPhone app and the ShiftJot website at worklog.chipsimpson.tech (together, "ShiftJot"). ShiftJot is provided by Charles Simpson ("we", "us"). Both versions use the same account and the same data.
What we collect
| Information | Why |
|---|---|
| Account: your email address and a password (stored only as a one-way hash, never in readable form). | To create your account and sign you in. |
| What you log: work entries (title, category, ticket or asset ID, minutes, status, times, notes), pending tasks, your notepad, and your list of categories. | To provide the app. This is the content you choose to enter. |
| Other people's details you choose to enter: the name, user ID and phone number of the person a job was for. | So you can find and follow up on your own work. Only enter details you're entitled to record. |
| Photos you attach to entries and tasks. | To show them back to you on your devices. |
| Sign-in and security records: your sign-in token, and, for failed sign-in attempts only, the email entered, the IP address and the time. | To keep you signed in and to slow down password guessing. Failed-attempt records only count for 15 minutes and are periodically cleared out automatically. |
We do not collect your location, contacts, advertising identifier or browsing activity, and the app contains no analytics or advertising code.
Device features the app asks to use
- Camera — to take a photo to attach to an entry or task, and to scan a barcode or QR code into the asset ID field. Scanning happens on your phone; only the text of the code you scan is saved.
- Photo library — only the photos you pick yourself.
- Microphone and speech recognition — only when you tap the microphone button to dictate a note. Audio is not saved by ShiftJot. Where your iPhone supports it, the speech is turned into text on the device; otherwise Apple's speech recognition service may process it under Apple's privacy policy. Only the resulting text is saved, and only if you keep it in your note.
You can turn any of these off in the iPhone Settings app. The rest of the app keeps working.
How we use your information
Only to run ShiftJot: to sign you in, store and show your content, send a password reset email when you ask for one, and protect accounts from abuse. We do not use it for advertising, profiling or sale.
Who we share it with
We don't sell or rent your information, and we don't share it for advertising. It is handled only by the services needed to run the app:
- Our hosting provider (Hostinger), which stores the database and uploaded photos and sends password reset emails.
- Apple, which distributes the app, and which may process speech if you dictate on a device without on-device recognition (see above).
We may disclose information if the law requires it.
Security
Everything travels over encrypted connections (HTTPS). Passwords are hashed, sign-in tokens are stored hashed on the server, and on your iPhone your sign-in token is kept in the iOS Keychain. Your content is private to your account: other users cannot see it. No system is perfectly secure, so please choose a strong password.
How long we keep it, and deleting it
We keep your information while your account exists. You can delete individual entries, tasks, notes and photos at any time. You can delete your whole account in the iPhone app: open the ••• menu on the Today screen, tap Delete Account, and confirm with your password. This permanently removes your account and everything in it from our database right away, and we also remove your uploaded photo files. It can't be undone. The web version shares the same account, so it is deleted there too.
Copies may remain in our hosting provider's routine backups for a limited time and then expire on their normal schedule.
Your choices and rights
You can view and edit your information in the app, export your entries as a spreadsheet (CSV) from History and Reports, and delete your account as described above. Depending on where you live, you may also have rights to access, correct, delete or receive a copy of your personal information. Email us at the address below and we'll help.
Children
ShiftJot is meant for working adults and is not directed to children under 13. We don't knowingly collect information from children; if you believe a child has created an account, contact us and we'll delete it.
Changes to this policy
If we change this policy we'll update the date at the top, and for significant changes we'll tell you in the app or by email.
